Information collected

Quote inquiries collect contact details, property address/type, affected areas, the reason for inquiry and referral source. Commercial quote inquiries may include optional property photos. Customer accounts use a verified email address and may include a name and contact phone number. Customer access uses email verification codes; administrators sign in with an email address and a securely hashed password. Booking can begin without an account. Inspection orders store scope, property and appointment details, optional access instructions, on-site contact, payment records and reports. Inspection evidence may include photos and private staff observations.

How information is used

MoldHawk uses this information to respond to inquiries, schedule and perform inspections, administer orders, record payments and deliver reports. The business Microsoft 365 mailbox delivers verification codes, transactional alerts, receipts, confirmations and administrator password recovery once website authorization is configured. The payment provider handles card details and any eligible installment methods; full card numbers are not stored by MoldHawk.

Email verification

Requesting a code sends an authentication email through MoldHawk’s Microsoft 365 mailbox. Codes expire after ten minutes, are stored as hashes, and verification attempts are limited. Requesting a code does not subscribe you to marketing. Customer sign-in does not require SMS. Active secure sessions allow returning visits without another code; a new device, sign-out or expired session requires verification again.

Referral and content attribution

When you voluntarily send an inquiry or appointment request, it may include a broad referral source, such as ChatGPT or a search engine, and the public page where your visit began. The website carries these non-sensitive labels through public links without an advertising cookie or a cross-site visitor identifier. We use saved inquiry and order records to understand which sources and guides lead to requests. We do not receive your ChatGPT conversations, and referral labels are not proof of a search ranking or recommendation.

Access and storage

Customer order records and files are protected by account authorization. Each customer can access their own orders and released reports. Administrators manage business records. Internal customer and order notes remain private. File links are served through authenticated access controls. Necessary cookies maintain account sessions.

Photos, reports and laboratories

Inquiry photos and inspection originals are private to authorized staff. Customers receive only approved, published reports; selected approved photos may be included in those reports. Samples and relevant property information may be shared with the selected laboratory to perform the agreed testing. The applicable laboratory and testing scope are confirmed for each order.

Optional AI assistance

Authorized staff may submit selected observation text to OpenAI to suggest clearer wording. The rewrite request does not include the customer profile, contact details, full order, photos or laboratory files. Staff must avoid entering personal or unrelated sensitive details in selected notes. The original observation is retained, every accepted change is recorded, and AI suggestions require human review. Requests disable response storage through the API; provider security and abuse-monitoring retention may still apply. AI does not approve or publish reports.

Retention and requests

Contact support@moldhawk.com to request access, correction or deletion of your information. Inspection, payment and audit records may need to be retained to provide the service, resolve disputes or meet applicable obligations. Do not submit medical records or unrelated sensitive information through the website.
